Business Function:

Our large Share Plans Operations team is made up of a number of sub teams that carry our different elements of our services, with some teams focused on specific share plans and others providing shared services.

Role Summary:

As our Employee Share Plan Services continues to service over 150 Save As You Earn Clients, we are looking for someone to join our Allotment Team who are responsible for the closure and fulfilment of our maturity and early exercises. The role offers the chance to learn both valuable business skills whilst also developing specialist knowledge of Share Plans, alongside broader share market and regulatory knowledge.

Core Duties/Responsibilities

  • Monitor settlement and issue of all shares amongst the variety of exercise choices.
  • Communicate on a daily basis with: Clients, SPM’s, CRM’s, Trusts, PSD, ECD, Third Party Carriers, Investment services, Third Party CSN Providers, Registrars, and further internal teams.
  • Liaising with PSD to submit trade instructions to market.
  • Liaising with Clients /Trusts / Brokers / Registrars to ensure Board Minutes/ Trust Releases / other documents are received in good time prior to Settlement. Acting upon these instructions in a timely manner. Liaising with CPC, Treasury, PSD, ECD and other trusts to process share allotments in consideration of Crest and Payment timeframes.
  • Ensuring that shares allocated or sold are accurate and timely. This includes investigating when systems do not reconcile and monitoring ISC.
  • Arrange the transfer of shares to the various destinations for all choices in accordance with SLA's and the client schedule.
  • Processing transfers via the Crest/ Optitrade system accurately and within Crest processing windows
  • Monitoring Dividend Record dates and ensuring stock is received by the due date.
  • Responding to daily BAU activities in a timely manner being mindful to process trades instructions in the correct order and prioritise as per timings required for each internal area and maturity choice.
  • Ensuring that reconciliations are carried out to a high standard and escalating issues as needed
  • Ensure procedures are updated in line with any changes we are made aware of by the SPM.
  • Chase Clients, SPM’s and SPC’s when authority has not been received within our cut off timings
  • Dealing with queries directly from Clients, SPM’s, CRM’s, Trusts, PSD, ECD, Third Party Carriers, Investment services, Other registrars, Third Party CSN Providers, SIPP Providers regarding Employees regarding Share Plans via phone / e-mail
  • Preparation and reconciliation of outgoing files for the trusts, ECD, PSD, GN Team and Investment services
